Overview
Rankley’s HubSpot integration is designed to sync AI Visibility audit activity to HubSpot without interrupting the prospect’s audit experience.
If HubSpot sync has an issue, Rankley is designed so the AI Visibility audit and email delivery can still complete whenever possible.
HubSpot is not connected
If HubSpot does not show as connected:
Go to Agency Settings > Integrations in Rankley.
Select HubSpot.
Click Connect HubSpot.
Approve the requested permissions in HubSpot.
Return to Rankley and confirm the connection status.
Rankley says HubSpot needs to be reconnected
A reconnect prompt usually means Rankley needs updated HubSpot permissions.
To fix this:
Click Reconnect HubSpot in Rankley.
Review the updated HubSpot permissions.
Approve the connection.
Return to Rankley.
The audit completed, but I do not see HubSpot activity
Check the following:
HubSpot is connected in Rankley.
HubSpot sync is enabled for the relevant widget or workflow.
The audit completed successfully.
The submitted email or HubSpot context can match a contact.
You are viewing the correct HubSpot contact record.
The activity timeline filters in HubSpot are not hiding notes or activity.
The contact was not matched
Rankley uses available contact context, such as submitted email and HubSpot tracking context when available.
If the contact was not matched:
Confirm the submitted email is correct.
Confirm the contact exists in HubSpot.
Confirm HubSpot tracking/sync is enabled for the widget.
Try submitting another test using a known HubSpot contact email.
I see missing custom property warnings
Rankley may support optional HubSpot custom properties for advanced workflows.
If those properties do not exist in HubSpot, Rankley is designed to continue the audit workflow and avoid blocking the lead experience.
Missing optional custom properties do not prevent:
Audit generation
Email delivery
HubSpot note/activity fallback
HubSpot notes or activity look different than expected
Rankley currently uses HubSpot contact activity and note fallback as the production-safe method for recording audit activity.
Structured HubSpot App Events are planned for a future version after Marketplace and App Events readiness and approval.
The full report link is missing
If the HubSpot activity does not include a report link:
Confirm the audit report was generated successfully.
Confirm the audit email was sent.
Try opening the report from Rankley.
Contact support if the issue continues.
HubSpot sync failed, but the audit email still sent
This can be expected behavior.
Rankley is designed so optional HubSpot sync issues do not block the main audit workflow.
The prospect can still receive the audit email even if HubSpot sync has a temporary or optional issue.
When to contact support
Contact Rankley support if:
HubSpot cannot connect
Reconnect fails
Audit activity never appears in HubSpot
The wrong contact receives activity
Report links are missing repeatedly
You see repeated sync warnings after reconnecting HubSpot
When contacting support, include:
Your agency name
The HubSpot account you connected
The email address used in the test submission
The approximate time of the audit
A screenshot of the Rankley integration status, if available
