Connect Rankley to Zapier

Connect Rankley to Zapier to automatically send new accounts and completed reports to CRMs, Google Sheets, Slack, and thousands of other apps.

Zapier lets you connect Rankley to tools like:

  • GoHighLevel

  • HubSpot

  • Google Sheets

  • Slack

  • Email tools

For example, you can automatically:

  • Add new Rankley accounts to your CRM

  • Send report completion alerts to Slack

  • Log SEO reports in Google Sheets

  • Update CRM fields with report scores


Before you start

You’ll need:

  • A Rankley account

  • Access to your Rankley workspace

  • A Zapier account


Step 1: Generate your Rankley API Key

  1. Log into Rankley.

  2. Click your profile menu in the top-right corner.

  3. Click Integrations.

  4. Scroll down to Organization Integrations.

  5. Find Zapier and click Manage.

  6. Click Generate Key.

  7. Copy your API key.

Important: The full API key is only shown once. Copy it and store it securely before closing the window.

You will paste this key into Zapier when connecting the app.


Step 2: Connect Rankley in Zapier

  1. Log into Zapier.

  2. Click Create Zap.

  3. Choose Rankley as the trigger app.

  4. Choose a trigger, such as New Account Created or New Report Completed.

  5. When prompted, paste your Rankley API key.

  6. Click Test connection.

Zapier will now be connected to your Rankley workspace.


Available Triggers

Rankley currently supports two Zapier triggers.


New Account Created

Triggers whenever a new account is created in Rankley.

Example use cases:

  • Add new accounts to GoHighLevel

  • Add new accounts to HubSpot

  • Log new accounts in Google Sheets

  • Notify a team in Slack

Data available in this trigger may include:

  • Account name

  • Website

  • Industry

  • City / state

  • Phone

  • Contact name

  • Contact email

  • Contact phone


New Report Completed

Triggers when a Rankley report finishes running.

Example use cases:

  • Send report alerts to Slack

  • Email report links to a client

  • Update a CRM record with the latest SEO score

  • Log reports in Google Sheets

Data available in this trigger includes:

  • Account name

  • Report type

  • Report score

  • Report URL

  • Report completion time

Note: When setting up this trigger, Zapier may ask you to select a Rankley account. This lets Zapier know which account’s reports to watch.


Example Zap Workflows

Send new accounts to GoHighLevel

Trigger:
New Account Created

Action:
Create Contact in GoHighLevel

Fields you may map:

  • Account Name

  • Contact Email

  • Contact Phone

  • Website


Send report completion alerts to Slack

Trigger:
New Report Completed

Action:
Send Slack message

Example message:

New Rankley report completed for {{Account Name}}

Score: {{Overall Score}}
View report: {{Report URL}}

Log reports in Google Sheets

Trigger:
New Report Completed

Action:
Create Spreadsheet Row

Columns:

  • Account Name

  • Report Score

  • Report Type

  • Report Date

  • Report URL


Testing the Zapier triggers

Zapier requires at least one example record when testing triggers.

If you see “No data found”, create a new account or run a report.


Create a test account

  1. Go to Accounts

  2. Click Add Account

  3. Select Add via Google Maps URL

  4. Paste this example business:

    https://www.google.com/maps/place/Noodle+Blvd/@35.7631046,-78.747035,17z/data=!3m1!4b1!4m6!3m5!1s0x89acf3b7bbe234fb:0x3ef1f4bace8be93c!8m2!3d35.7631046!4d-78.747035!16s%2Fg%2F11cmxwlq2p
  5. Click Use this URL

  6. Add a contact:

    Name: Test Contact
    Email: [email protected]
  7. Click Create Account

This will trigger New Account Created.


Alternative: Add account manually

If the Google Maps import fails:

  1. Go to Accounts

  2. Click Add Account

  3. Select Add Manually

  4. Enter any business information

  5. Click Create Account

This will also trigger New Account Created.


Trigger a report completion

To test the report trigger:

  1. Go to Accounts.

  2. Open the account you want to test.

  3. Click Run New Report in the left Account Menu.

  4. Select the module or modules to include in the report.

  5. Click Run Now

  6. Wait for the report to complete

When the report finishes, Zapier will detect New Report Completed.


Troubleshooting

Zapier says “No data found”

Create a new account or run a new report in Rankley, then test the trigger again.

Zapier connection failed

Make sure you pasted the API key exactly as generated. If needed, generate a new API key and reconnect Rankley in Zapier.

My Zap doesn’t trigger

Make sure:

  • The Zap is turned on

  • The account or report was created after the Zap was enabled

  • You selected the correct Rankley account, if Zapier asked you to choose one

The report URL is blank

A report URL may be blank if a shareable report link has not been generated yet.
